Vehicle Administration Executive

About the role

The Vehicle Administration Executive is responsible for overseeing the efficient operation of the company’s fleet. This role ensures cost‑effective fuel usage, proper vehicle maintenance, and compliance with all licensing and safety regulations.

Key responsibilities

• Monitor fuel consumption, manage fuel vouchers and audit mileage to eliminate irregularities.
• Track vehicle movements using GPS systems and daily logbooks.
• Schedule and supervise routine preventive maintenance and coordinate repairs with authorized workshops.
• Review repair cost estimates and obtain management approval for major repairs.
• Supervise, schedule and assign shifts for company admin drivers.
• Verify that all drivers hold valid licences and adhere to company policies and traffic laws.
• Conduct regular safety briefings and promote defensive driving practices.
• Prepare monthly fleet reports covering fuel usage, maintenance expenses and operational costs.
• Handle emergencies, vehicle breakdowns and accidents by liaising with authorities and insurance providers.
• Manage timely renewals of vehicle registrations.

Required profile

• Bachelor’s degree.
• 4‑5 years of proven experience in fleet management, transport supervision or logistics.
• Valid driving licence.
• Familiarity with local traffic laws, vehicle licensing and insurance procedures.
• Strong problem‑solving, communication and interpersonal abilities.
• Highly responsible and able to respond to emergency calls outside regular hours.
